Payroll 101

Question: What do we do if a new client does not know their Federal Deposit Frequency?
Answer: Mark the agreement as Semi-weekly depositor

Question: What do we do if a new client does not know their NYS Deposit Frequency?
Answer: Mark the agreement as NY-3 day

Question: Why is it important for new clients to use our termination letter to inform their prior payroll provider that they are leaving their service?
Answer: Our termination letters give instructions on how to handle unpaid liabilities so that any tax collected that is not a quarterly tax is deposited rather than returned to the client for them to deposit.

Question: What do we need to know when setting up a new account where the owner(s) are on payroll?
Answer: Whether they are treated as an employee and should get a W2 or should receive their pay as a 1099C and get no annual form from Advantage.

Question: What taxes are children of sole proprietors or partnerships who are under 18 years old  exempt from?
Answer: Social Security, Medicare, and FUTA

Ancillary Products

Question: When is Employee Self Serve available?
Answer: Employee Self Serve is available only to clients that are full IP clients, processing their own payroll.  The client is responsible to set up their employees with access to the system.

Question: What is the difference between basic HR AnswerLink and HR On Demand?
Answer: With HR On Demand, you have access to ask company specific questions, have your internal HR documents customized, and your handbook customized.  Basic HR Answerlink gives you templates you can use to create your own, and access to law databases for you to research internal situations.

Question: What are the two levels of labor law poster subscriptions and what is the cost of each?
Answer:
$3.50/month gets you email alerts when federal laws change, or your specified state has law updates.  Clients can print and hang by the original poster.

$7.50/month gets you a new poster in the mail for you to post.



Question: SwipeClock Printreader can eliminate the costly expenses of what?
Answer: This eliminates the expense of buddy punching- a unique fingerprint is used to punch in and out.

Question: If a client uses a timeclock vendor or general ledger software product you are not familiar with, what should you ask for if they want the product to interface with Advantage?
Answer:
-A sample file from the vendor of what would be importing to our system
-The file specs associated with the sample file
-Specify when sending the information to Operations if the client will be on IP or PACE as the import instructions vary



First Payroll Process

Question: Once the first payroll runs, what are your responsibilities as the salesperson?
Answer: You are responsible to deliver the payroll (and binders and posters when applicable) to the client so you are there to explain the reports and make sure all went smoothly.  If there are extenuating circumstances and you can’t deliver the payroll, you are responsible to call the next day once payroll arrived to go through the reports and see if there are questions.  THIS IS YOUR OPPORTUNITY TO GET REFERRALS!!!

Question: When is conversion posted?
Answer: Once completed conversion is submitted to Dina, it generally takes 2-3 pay periods for conversion to be posted.

Question: If an employee has earned $120,000 prior to starting with Advantage, what action should you take?
Answer: In the notes section of the profile, list the employee(s) name and number, and write that their wages exceed the $117,000 SS limit.  This way we can notify conversion and have them flag the employee(s) so when payroll runs, we don’t overwithhold their taxes.  This does NOT get YTD numbers posted.

Question: What constitutes a complete deal to be submitted?
Answer: All documents are signed; the company voided check is attached; all checklists are completed; the New Client Profile is completed; full employee information is submitted for at least 70-80% of the total employee count.

Question: If a client is coming to us from ADP in August, what conversion information needs to be collected?
Answer: You need a wage breakout by employee by quarter (1, 2 and 3) that includes all deductions (where applicable) and copies of all payroll returns (941s, state returns) for 1st and 2nd quarters.

Restaurant Payroll

Question: What is the current allowable cash wage for tipped employees working in a restaurant?
Answer: $5.00 per hour

Question: What is the overtime rate for a tipped restaurant employee being paid $7.00 per hour?
Answer: $11.00 per hour ( 8 x 1.5 = 12.00 – 1.00 tip credit (8-7=1.00)

Question: What is it called when a tipped employee does not have enough cash wage to have all their taxes and/or deductions withheld from their check?
Answer: Shortfall

Question: What is it called when additional money is paid to the employee because the cash wage plus declared tips do not bring them to minimum wage?
Answer: Tip to Minimum Validation

Question: What are the 5 reports included in our Restaurant Reporting Package?
Answer: Declared Tip Listing, Shortfalls, Shortfall Adjustments, Tip to Minimum Validation, Fica Tip Credit

Union Payroll

Question: What is prevailing wage?
Answer: Wage rate determined by regulatory agencies for each trade and occupation employed in performance of public work.  

Question: Can a company require prevailing wage rates to be used but not have union employees?
Answer: Yes, any company that is working on a government contract is required to pay prevailing wage but the workers performing the work do not have to be in a union.

Question: What must Advantage sales rep get from any clients that have union workers?
Answer: Copy of Wage rate sheets for each union and type of worker they have and copy of most recent payroll showing union benefit calculations.

Question: Does Advantage provide certified payroll reports?
Answer: No, but we can show the client where to get the information they need to report on these certified reports.

Question: Can the Advantage system handle clients that have multiple unions in multiple counties with multiple types of employees?
Answer: No
